Inviting Guests to a Video Meeting

You can invite coworkers and outside guests to a video meeting. Guests do not need a ReliaRing account — they join from their browser with a link.

Schedule a meeting and invite people

1. Go to Video Meetings and open the Schedule tab.
2. Fill in the details:
   • Meeting Title and an optional Description.
   • Date, Time and Duration.
   • Maximum Participants — 2, 4 or 6. Six is the largest a meeting can be.
3. Under Invite by Email, enter email addresses separated by commas.
4. Choose your meeting options (below).
5. Click Schedule Meeting.

You cannot schedule a meeting in the past — pick a future date and time.

Meeting options

• Waiting Room — recorded on the meeting, but there is currently no screen for admitting people who are waiting. Leave it off unless you have been told otherwise.
• Enable Chat — allow text messages during the meeting.
• Screen Sharing — allow participants to share their screen.
• Record Automatically — begin recording as soon as the meeting starts.

Share the link and the PIN together

Open the meeting and copy the Guest Invite Link — a web address containing /join/ and a code. Send it to anyone.

Send the six-digit PIN with it. The link on its own is not enough; guests are stopped at the join screen and asked for a PIN.

What guests see

Opening the link shows the meeting name, who is hosting, the scheduled time, and how many people are already connected. To join, a guest enters their name and the PIN, then clicks Join Meeting.

Guests take part but cannot manage the meeting.

Good to know

• No account or app needed. Guests join from any modern browser.
• Six is the ceiling. When six people are connected, nobody else can get in until someone leaves.
• Five wrong PIN attempts locks a guest out for 15 minutes. Double-check the PIN before sending it.
• Links do not outlive the meeting. Once a meeting has ended, its guest link stops working and reports that the meeting has ended.

Editing or cancelling

Open the Meetings tab, find the meeting, and edit it to change the time, options or invitees — or delete it to cancel.
