How Presence and Status Work

Your status shows colleagues whether you are free, away or on a call — and most of it is set by the phone system, not by you.

Your status tells colleagues whether you are free. It appears beside your name in the portal header, and beside you wherever the portal lists people — ring group members, contacts, and skills.

Most of it happens without you

You do not have to keep your status up to date. The phone system does most of it:

  • Your phone registers — you show as available.
  • A call connects — you switch to busy.
  • The call ends — you switch back.
  • You go quiet for a while — after 15 minutes of inactivity you drop to away.
  • Nothing is signed in — after ten minutes with no device reporting in, you go offline.

The statuses

  • Available — ready to take calls and chat.
  • Away — signed in but not active. Usually set automatically.
  • Busy — on a call, or set by you.
  • Do Not Disturb — see "Using Do Not Disturb".
  • Offline — nothing signed in.

Your account may also have its own custom statuses, which appear in the same list.

Setting your own status

Click your status in the portal header and pick one. A status you set yourself stays until you change it or until the system moves you — for example, when a call connects.

Several devices at once

If you are signed in on a desk phone, the browser and a mobile, each counts as a device. Your overall status is worked out from all of them, so being active anywhere keeps you online.

Who can see it

Only people on your account. Presence is never shared outside it, and it is not published to Microsoft Teams, Slack or a calendar.

What presence is not

  • It is not a history. Only your current status is kept — there is no record of past statuses and no reporting on them.
  • It is not attendance tracking. It reflects device activity and call state, nothing more.
  • There is no "who's online" page. Status appears beside people, not as a roster.
