Call recording captures the audio of calls your ReliaRing phone system handles, stores it securely, and lets you play, download, search and delete it later.
What gets recorded
Once recording is switched on, these calls are captured:
- Calls to one of your numbers that ring an extension or a team
- Calls to one of your numbers that are forwarded to another number
- Calls between two of your own extensions
- Calls your team makes out to the phone network
These calls are not captured:
- Calls handled by Microsoft Teams or Cisco Webex, even where ReliaRing carries them. Those platforms have their own recording.
- Calls that use a SIP trunk directly rather than the ReliaRing phone system.
- Conference bridges and video meetings. Those record separately and appear in their own place.
You need a plan that includes it
Call recording is included on the Starter, Professional, Business and Enterprise plans. It is not included on Solo. If your plan does not include it, calls connect normally and nothing is recorded.
Recording is all or nothing
Recording is switched on for the whole account. There is no per-person, per-team or per-number switch, and no way for a user to record a single call on demand. If it is on, every call in the list above is recorded.
What callers hear
At the start of the call a spoken notice plays — by default, "This call may be recorded for quality assurance and training purposes." You choose whether it plays on incoming calls, outgoing calls, or both, and which language it uses. See Recording Announcements: What Your Callers Hear.
What you can do with a recording
- Play it in your browser
- Download the audio
- Create a link to send to someone else
- Generate a written transcript, then search your recordings by what was said
- Delete it
How long recordings are kept
Recordings are deleted 90 days after they are stored, unless you set your own rule. You can choose to keep them forever, for a set number of days, or up to a storage limit. See Retention and Legal Hold.
Your account includes 5 GB of recording storage. When it is full, calls carry on as normal but are no longer recorded, so keep an eye on the storage figure at the top of the Call Recordings page.
Things it cannot do yet
Worth knowing before you plan around them:
- Callers cannot opt out during the call. There is no key a caller can press to stop the recording.
- There is no repeating beep during the call. The notice plays once, at the start.
- Recording cannot be paused mid-call. If your team reads card numbers aloud on calls, do not rely on recording being paused — those calls should not be recorded at all.
- Everyone who can open the page sees every recording in your account, not only their own calls. Only administrators can delete them or change retention.
- Transcripts are made one at a time, when you ask for them. Nothing is transcribed automatically.
Your legal responsibility
Recording law varies by province, state and country. Before recording is switched on, an administrator must accept the Recording Terms of Service, which confirms that responsibility for lawful recording sits with your organisation. ReliaRing gives you the notice, the consent record and the retention controls — it does not decide what is lawful where you operate.
