Setting Up a New Desk Phone

Updated July 22, 20261 views0 found helpful

Get a physical desk phone working with ReliaRing. Phones bought from us or enrolled by your admin configure themselves automatically - no technical setup.

Good news: desk phones on ReliaRing set themselves up. When a phone is bought from us or enrolled by your admin, it configures itself automatically the moment it's plugged in. This is called zero-touch provisioning - no fiddling with settings, no reading a manual full of technical terms.

Here's what to expect.

If you bought the phone from us

  1. Plug it in. Connect the phone to your internet (network cable) and to power.
  2. Wait a few minutes. The phone finds its settings from our platform on its own and may restart once.
  3. You're done. When you see your extension and name on the screen, it's ready to make and take calls.

That's the whole process. The phone arrives already linked to your account, so there's nothing to type in.

If you already have a compatible phone

If you're bringing a phone you already own, an admin adds it first so our platform recognizes it:

  1. An admin goes to Account → Device Management and adds the phone (they'll enter the phone's ID from the label on the box or underneath it, choose the make and model, and assign it to a team member).
  2. They point the phone at our setup (or factory-reset it if it was used elsewhere).
  3. The phone downloads its settings automatically and comes online.

If you're the admin doing this, see Managing Company Devices for the full steps. If a phone is your personal device, see Using Your Own Phone (BYOD).

Which phones work

ReliaRing supports popular business desk phones, including models from:

  • Grandstream
  • Poly (Polycom)
  • Cisco
  • Yealink

If you're not sure whether a specific model is supported, ask your admin or contact support before you buy.

What "automatic configuration" sets up for you

Zero-touch provisioning takes care of the technical bits behind the scenes, so your phone knows:

  • Which extension and account it belongs to
  • How to reach our phone network securely
  • Your line keys, features, and display name

If your company later changes a setting, an admin can send fresh settings to the phone with a single Re-provision action - the phone updates itself without you touching it.

Troubleshooting

The screen shows no extension or an error. Make sure the network cable is in the correct port and the phone has internet. Give it a few minutes to finish downloading settings, and try restarting it.

"This phone isn't recognized." The phone probably hasn't been added to your account yet. Ask your admin to add it under Account → Device Management.

It worked at another company before. A used phone may still hold old settings. Ask your admin to factory-reset it and re-enroll it so it can pick up your ReliaRing configuration.

Tip: Buying phones through us (available in Canada via the Hardware Store) is the easiest path - they arrive pre-linked to your account and work the moment you plug them in.
